We are seeking a highly skilled Procurement & Logistics Specialist with experience in pharmaceutical manufacturing equipment, global sourcing, and end-to-end supply chain management. This role is responsible for purchasing, vendor management, international sourcing, equipment procurement, inventory planning, and logistics coordination to support efficient pharmaceutical production and packaging operations.

The ideal candidate has direct experience with pharmaceutical machines, packaging systems, label/printing equipment, and international suppliers—particularly through Alibaba and China-based manufacturers—as well as a strong understanding of freight operations, tariffs, customs, and regulatory considerations.

About the Role

What You'll Do

  • Source, evaluate, and negotiate with suppliers for pharmaceutical machinery, packaging equipment, printing systems, labeling machines, and production materials.
  • Manage vendor relationships, performance, and compliance to meet quality, cost, and delivery standards.
  • Use platforms like Alibaba and other global sourcing channels to identify reliable manufacturers and negotiate contracts.
  • Maintain an approved vendor list and execute supplier audits as needed.
  • Review and negotiate purchasing agreements, warranties, service contracts, and pricing terms.

Equipment & Materials Procurement

  • Lead procurement of specialized machinery including:
  • Pharmaceutical production machines
  • Blister/flow-wrap/packaging machines
  • Labeling and coding equipment
  • Bottle filling or tablet/capsule handling machines
  • Coordinate equipment installation schedules, spare parts orders, maintenance needs, and support services.
  • Ensure purchased machinery meets regulatory and GMP standards.

Logistics, Shipping & Inventory Coordination

  • Coordinate international shipments, including interacting with freight forwarders, customs brokers, and freight carriers.
  • Manage import/export paperwork, customs documentation, and tariff classifications.
  • Monitor global logistics trends and changes in duties, tariffs, and compliance requirements.
  • Track shipments, resolve delays, and manage warehouse receiving.
  • Forecast inventory needs and maintain optimal levels of raw materials, packaging components, and machine parts.

Cross-Functional Collaboration

  • Work closely with Production, Quality, Engineering, and Compliance teams to ensure procurement aligns with operational needs.
  • Support Quality Assurance with supplier documentation, COAs, equipment specifications, and GMP-related records.
  • Provide technical understanding when evaluating machine compatibility, upgrades, or replacements.
  • Process Optimization & ComplianceOptimize procurement processes to improve cost efficiency, lead times, and risk management.
  • Ensure logistics and procurement activities comply with GMP, FDA, DEA (if applicable), and international shipping regulations.
  • Maintain documentation related to sourcing, machine specs, procurement approvals, and logistics records.

Qualifications

  • Bachelor’s degree in Supply Chain, Business, Engineering, or related field preferred.
  • 5+ years of experience in procurement, supply chain, or logistics, preferably in a pharmaceutical or medical manufacturing environment.
  • Proven experience sourcing from Alibaba and China-based suppliers.

Strong knowledge of:

  • Pharmaceutical production machinery
  • Packaging and labeling machines
  • Printing/coding equipment (e.g., inkjet, thermal transfer, laser coders)
  • Experience coordinating international freight, customs, tariffs, HS codes, and trade compliance.
  • Proficient in vendor negotiation, cost analysis, and contract management.
  • Excellent communication, organizational, and project management skills.

Preferred Skills

  • Familiarity with GMP manufacturing environments and FDA/USP requirements.
  • Experience working with freight brokers, customs agents, and third-party logistics (3PL) partners.
  • Understanding of equipment validation (IQ/OQ/PQ) and technical documentation.
  • Ability to read technical machine specifications and engineering drawings.
  • Knowledge of ERP or procurement systems (NetSuite, SAP, Oracle, etc.).
